Brathay Exploration Group Club Rules
1. MEMBERS
a. Persons over the age of eighteen of either sex are eligible for membership, although participation of minors with the consent of their parents who are Club members will also be allowed.
b. Acceptance of new members will be at the discretion of the committee
c. An entrance fee to be determined from time to time by the committee is to be payable by each new full member
d. The Club shall keep records about the Membership of the Club and shall annually report to the BMC the size of the Membership.
e. All members of the Club shall also be members of the Trust.
2. FINANCE
a. The financial year shall end on 31st October
b. Subscriptions shall be due on 1st January and shall be paid by 28th February on the same year, otherwise membership shall be considered to have lapsed
c. Renewals after 28th February will be charged full annual subscription
d. Subscriptions shall be established by the Committee and shall include payment for such publications as are produced by the Club
e. New full members during a current financial year shall pay their first subscription on a quarterly pro-rata basis until the end of the following December when full subscription will be due
f. The Treasurer shall be responsible for the collection of subscriptions and will account for any other income and expenditure made on behalf of the Club.
g. The Treasurer shall be responsible for the payment of the membership subscription to the BMC
3. MEMBERS’ HUT
a. The overnight fee and day visitors’ fee for use of the Members’ hut shall be fixed at an amount to be decided by the committee.
b. Members must not take more than two guests at once, without permission from the Committee / Hut booking secretary.
c. Guests may not stay at the Hut unless accompanied by a Member, nor may they stay on more than three visits per Club year without permission from the Committee / Hut booking secretary.
d. Any unaccompanied non-members wishing to use the hut must receive permission in writing from the committee / Hut booking secretary.
e. Management of the hut (including maintenance, equipment and safety) will be the responsibility of the Hut committee
4. DISCIPLINE
All complaints shall be notified to the Secretary in writing and the Committee shall have disciplinary powers in all matters
5. INJURY
6. MEETS
a. All meets shall have a meet co-ordinator
b. It is the responsibility of the meet co-ordinator to send details of the location, transport, accommodation and activities planned to the newsletter editor
c. During the meet the meet co-ordinator will keep a record of where people are going and check they have returned safely
d. All members on abroad meets must have appropriate travel insurance. We recommend BMC
7. EXPEDITIONS
a. All expeditions will have a co-ordinator
b. Proposals will be submitted to the Committee in advance for approval
c. Full risk assessment will be undertaken and appropriate steps taken
d. It is up to the expedition co-ordinator to recruit members and delegate tasks appropriate to the venture including all monies, transport, equipment and logistics
e. It is the responsibility of the expedition co-ordinator to provide the newsletter with pertinent details in advance and write a brief report on return
f. All members of abroad expeditions must have appropriate travel insurance. We recommend BMC
8. SCIENTIFIC PROJECTS
a. All projects should be registered with the Committee Scientific Officer
b. Guidelines for either meet or expedition should be followed as appropriate for the venture
c. Interim progress reports should be filed annually and stored by the Committee Scientific Officer as should any publications
9. COMMUNICATION
a. The Committee shall be responsible for all correspondence relating to Club affairs and for announcing Committee meetings, and the production and distribution of minutes from those meetings.
b. All remote communication with members (unless specifically requested otherwise) will be electronic
c. Regular newsletters will be circulated containing reports of recent activities and forthcoming meets and expeditions
10. RELATIONS WITH BRATHAY EXPLORATION GROUP TRUST
a. All members of the Club are automatic members of the Trust
b. Protocols governing the relationship between the Trust and the Club will be established and may be amended from time to time by agreement between the Trust and the Club.
